Privacy Policy

ClickZain Digital Solutions ("we", "us", "our") operates the Aikram platform. This Privacy Policy explains what personal data we collect, why we collect it, how we use and protect it, and the choices available to you.

We have written it in plain language on purpose. If any part is unclear, please ask us.

1. Who this policy covers

This policy applies to two different groups, and the distinction matters:

• Our customers — businesses and individuals who sign up for an Aikram account. For this data we act as the data controller.
• Our customers' end users — the people your business communicates with through Aikram. For this data we act as a data processor on your instructions. Your own privacy policy governs how you may use it; ours governs how we safeguard it.

2. Information we collect

Information you give us

• Account details — name, business name, email address, phone number, billing address and GST number.
• Verification documents — business registration papers required by the messaging platforms for number verification.
• Payment information — processed by our payment gateway partners. We never store your full card details on our servers.
• Support communications — the content of emails, chats, tickets and calls with our team.
• Content you upload — contact lists, message templates, catalogues, media files and any documents used to train an AI agent.

Information collected automatically

• Usage data — pages visited, features used, actions performed and timestamps.
• Device and technical data — IP address, browser type, operating system, device identifiers.
• Cookies and similar technologies — see our Cookie Policy.

Information processed on your behalf

When you use Aikram to communicate with your customers, we process the message content, phone numbers, delivery statuses and any custom fields you configure. We do this solely to provide the service to you.

What we never do: we do not sell your personal data, we do not rent or trade your contact lists, and we do not use the content of your customer conversations to train models for anyone else's benefit.

4. Sharing your information

We share data only where it is necessary to run the service:

• Messaging platform providers — to deliver your messages through official channels.
• Payment gateways — to process your subscription payments and any payments you collect.
• Cloud infrastructure providers — for hosting, storage and backups.
• Integrations you enable — data flows to a third-party service only when you connect it yourself.
• Professional advisers — accountants and lawyers, under confidentiality obligations.
• Authorities — where required by a valid legal order. Where we are permitted to, we will notify you first.

Every processor we engage is bound by contractual confidentiality and security obligations.

5. Data retention

• Account data — kept while your account is active, and for up to 90 days after closure to allow recovery.
• Conversation data — retained per your plan's retention window; you can export it any time.
• Billing records — retained for eight years, as required by Indian tax law.
• Backups — deleted data may persist in encrypted backups for up to 35 days before being overwritten.

You may request earlier deletion at any time, subject to our legal retention obligations.

6. How we protect your data

• Encryption in transit (TLS) and at rest for stored data.
• Role-based access control — staff access is limited to what their job requires.
• Two-factor authentication support on customer accounts.
• Regular backups with tested restoration procedures.
• Activity logging and monitoring for unusual access patterns.

No system is perfectly secure. If a breach occurs that is likely to affect your rights, we will notify you and the relevant authority without undue delay, and tell you what happened and what we are doing about it.

7. Your rights

Subject to applicable law, including India's Digital Personal Data Protection Act, you may:

• Access the personal data we hold about you.
• Correct data that is inaccurate, incomplete or out of date.
• Erase your data where we no longer have a lawful reason to keep it.
• Export your data in a commonly used, machine-readable format.
• Withdraw consent for marketing at any time, without affecting the service you receive.
• Nominate another person to exercise these rights on your behalf in the event of death or incapacity.
• Complain to us first, and thereafter to the relevant data protection authority.

8. Children

Aikram is a business tool and is not directed at children. We do not knowingly collect personal data from anyone under 18. If you believe a child has provided us with personal data, contact us and we will delete it promptly.

9. International transfers

Our infrastructure and some of our processors may be located outside India. Where personal data is transferred across borders, we ensure appropriate safeguards are in place through contractual protections with each processor.

10. Changes to this policy

We may update this policy as the service or the law changes. The "last updated" date at the top will always reflect the current version. For material changes we will notify account holders by email or an in-product notice at least 14 days before the change takes effect.
